Whenever a file is to be created, a department user has to provide date of creation, name of the department, Subject of the file and physical file id as input, then this application generates one file id using which information can be pulled up later whenever required. System will have the facility to prepare and print Barcode to locate physical records of the file(s) quickly: Barcode tracking, intuitive query and filter functions will allow users to instantly locate files, groups of folders and storage boxes.

Any document required to send an outside office dispatch user will get an outward service request from the user. Dispatch user will check the document and will deliver to the delivery party and also status will update as delivered.
Service request which will come from outside, Dispatch user will record the entry in inward service request and a barcode tracking no. will tag on physical document. Dispatch user will then forward the request to the correspondent User.
Assigned user will accept or reject the Service request which has been passed through dispatch user. After completion of requested service user will be able to deliver the document through outward service request.
Proposed system will have the facility for the users to initiate an outward service request to the dispatch user that document requires to send outside the office.
